     "At the beginning of this calendar year I enquired from my accountant Stephen Larsen what service he could provide us with so we knew exactly where we were throughout the year to avoid reaching the end of the year to find our expenses had blown out, and our GP had dropped and consequently the breakeven we thought was correct was in fact a lot higher than we were counting on.

As a result we now provide him with monthly actual accurate files from our accounting system which Stephen then loads onto a spread-sheet next to agreed budgets so we can compare what each expense for the month was against that budgeted, actual sales vs budget and actual GP vs budget. A red cross goes where we’ve erred and a green tick where we have succeeded along with a % and dollar figure showing the difference.

As well as that each member of the team has been allocated a group of expenses and their budgets and they are responsible to keep within that budget as one of their KPIs. This has worked a treat as the whole team is now very conscious of every cent of expenditure and this has had amazing results with our expenses virtually running at dollar to budget in the first 5 months of this financial year and our GP also on budget due to more care not to lightly discount. Also Stephen provides us with a rolling accurate P & L and balance sheet every month along with our tax liabilities so we don’t only know net before tax profit but after tax net position. In the old days we used to wait for three months after the financial year had ended to find all this information and it was too late to do anything about it!

In the 3rd week of every month we have a GTM where all this information up to the end of the previous month gets presented to the directors on screen and we go through it line by line. This whole exercise is having a noticeable effect on our P & L and balance sheet and we’d like to recommend to all clients to take advantage of this great service…and it doesn’t cost…it pays and makes annual accountancy fees a lot cheaper as well. "

Q: What information do I need to provide you with?

A: For us to be able to do monthly reporting for you, you must have your own in-house Computerised Accounting system which is totally up-to-date before being sent to us.  This means your Bank Rec’s completed, all Sales entered and Debtors reconciled, all Purchases and Creditors reconciled and Stock records up to date.  We provide you with a checklist each month of all the things you need to remember to do before sending your file to us.  Our clients use a range of different Accounting software so we are familiar with several different types.

 

Q: How long does it take to get reports back each month?

A: We aim to have a turn around of 3 days to get your monthly reports back to you and if you wish we can arrange a GTM to discuss them or have a face-to-face meeting if needs be.

Q: I don’t come from Palmerston North - do we have to have face to face meetings?

A: We service clients from all over New Zealand and use GoToMeeting to conduct meetings with our clients to discuss the results.  For those clients nearer to Palmerston North we can have face-to-face meetings either at our offices or yours.
